POSITION SUMMARY:
The Events Supervisor supports facility usage and scheduling and helps manage the facility's non-sports programs, including special events, trade shows, meetings, banquets, and other programs. The Events Supervisor works closely with the Events Manager and other departments (Operations, Marketing, F&B, etc.) on event execution, staffing, and daily operations. This role directly supervises part-time event staff and supports front-of-house service and guest experience.
PRIMARY RESPONSIBILITIES WILL INCLUDE, BUT ARE NOT LIMITED TO:
- Assist with planning, setup, execution, and breakdown of events on the facility's events calendar
- Support the Events Manager with implementation of new programming and recurring events
- Coordinate schedules for program/activity providers and part-time staff as assigned
- Supervise part-time staff during events and recreational programs while enforcing departmental rules and regulations
- Serve as an on-site point of contact for select events and support with bookings and basic contract details as directed by the Events Manager
- Monitor day-of event operations, guest flow, and service standards for event programs and special activities
- Provide support to other operations leaders and staff during events
- Help execute programming and events for various markets (corporate, group, adult/youth/family, special interest groups)
- Assist with tracking event attendance, basic revenue reporting, and other key metrics for the Events Manager
- Support sales initiatives for special events, birthday parties, and community events through great service and guest follow-up
- Help build relationships with guests, groups, and community partners to encourage repeat business
- Assist with coordination of third-party partners and vendors during events
- Help train, coach, and motivate part-time event and front desk staff
- Participate in event setup and execution; attend scheduled events and meetings; assist other departments during outside or special events as needed
- Assist with creating and promoting programs and activities (flyers, basic social posts, talking points, etc., as directed)
- Help oversee Front Desk operations during events, including customer service, checklists, and opening/closing procedures
- Serve as Supervisor on Duty on weekends or during events as scheduled
- Perform additional tasks as assigned by the Events Manager or venue leadership
MINIMUM QUALIFICATIONS:
- Associate degree in recreation, hospitality, sports management, or related field preferred; equivalent experience considered
- Must have proven track record of developing, marketing, and selling recreation and training programs
- Must have excellent interpersonal, problem-solving, and negotiating skills
- Must be a team player
- Must have excellent verbal and written communication skills
- Must have excellent computer skills, including Word, Excel, PowerPoint, etc.
- Must be able to work flexible schedules including weekends, nights, and holidays
- Must possess current CPR/FIRST AID certifications or must be willing to obtain them within a specified period of time
WORKING CONDITIONS AND PHYSICAL DEMANDS:
- Must be able to lift 50 pounds waist high
- May be required to sit or stand for extended periods of time whether indoors or outdoors, and squat, stoop, or bend
- Will be required to operate a computer
- Facility has intermittent noise
