The Executive Administrative Assistant will be an integral part of the growing Business Development and SFA Sales Team. We are seeking an experienced sales administrator dedicated to high performance, accuracy, hard work, and achieving excellence. This position may receive as many as 50 inbound Requests for Information weekly and play a critical role in the coordination and communication of new SFA sales opportunities, which may encompass scheduling, proposal development, sales tracking and organization, and resource/project/client management.

Primary responsibilities will include, but are not limited to the following:

  • Maintain current product knowledge on features and benefits of all services potentially sellable by SFA & SFM
  • Conduct initial phone screens for Sales Team, including incoming sales calls and website requests
  • Qualify the incoming leads and ensure qualified individuals are directed to the proper parties within the Sales Team
  • Know and follow a defined sales process
  • Produce and process all paperwork for the Internal Sales Associates
  • Ensure HubSpot CRM is up to date with accurate information from Internal Sales Associates with client call notes and documents in a timely manner
  • Attend weekly sales meetings, reporting on Internal Sales Team goals
  • Assist Business Development/Sales Team with any special needs
  • Perform other related duties as assigned

education & experience

  • Associates degree in Business Administration, Communications, or related field
  • 2+ years of sales and/or administrative experience
  • Supervisory experience in sales environment preferred
  • Experience with CRM software and processes
  • Must have expert level command of MS Excel, Word, PowerPoint and Outlook, and have demonstrated the ability to learn multiple new software platforms quickly

  • Schedules will vary depending on business needs, and may entail working nights, weekends, holidays and outside of departmental operating hours.


  • Must be able to lift 30 pounds waist high
  • Will be required to sit for extended periods of time operating a computer
  • Will be required to bend, twist, reach, push, pull, and operate office machinery.
  • Office environment has intermittent noise, normal in nature
